1. Definitions

“Activated Workspace” means a workspace for which the promo code has been successfully redeemed inside the FlowDocs app and any applicable post-moderation review has been completed.

“Administrator” or “Admin” means the authorised user who creates the workspace and holds administrative rights to manage users, billing, and settings.

“FlowDocs,” “we,” “us,” or “our” means Flowbe FZE, a company registered in the Sharjah Research Technology and Innovation Park (SRTIP Licence 4157), Sharjah Free Zone, United Arab Emirates.

“Licences” means the maximum number of active user seats allocated under this offer.

“Offer” or “Plan” means the “Made in the UAE” promotional plan described in these Terms.

“Read-Only Mode” means a workspace state in which all existing tickets, documents, chats, and workflow history remain viewable and searchable, but creation of new items, edits, and state changes are disabled.

“User” or “you” means any individual or legal entity accessing or using the FlowDocs service under this Offer.

“Workspace” means the isolated FlowDocs environment created within Microsoft Teams and associated with a single company domain.

2. Eligibility

2.1. This offer is available exclusively to companies legally registered in the United Arab Emirates or holding a valid trade licence issued by a UAE free zone or mainland authority.

2.2. Each company domain is limited to one (1) redemption of the promo code during the campaign period.

2.3. FlowDocs reserves the right to verify eligibility at any time. Registrations using public email domains (e.g., Gmail, Yahoo) are accepted but flagged for manual post-moderation review before full activation.

3. The Offer Details

3.1. The “Made in the UAE” plan grants access to the FlowDocs Standard tier for a maximum of ten (10) active users (Licences) per workspace.

3.2. Access duration is twelve (12) months from the date of successful code redemption.

3.3. The Plan is provided free of charge. No credit card details are required at signup.

3.4. Included features: Ticketing, document workflows, multi-level approvals, templates, basic analytics, and deep integration with Microsoft Teams.

4. Campaign Cap & Expiry

4.1. The offer is strictly limited to the first one hundred (100) Activated Workspaces on a first-come, first-served basis.

4.2. Once the cap is reached, the landing page will automatically display a “Waitlist” status, and the promo code will be deactivated globally.

4.3. The promo code expires at 23:59 GST on 30 September 2026.

4.4. The code is non-transferable, non-exchangeable, and holds no cash value.

5. Redemption Rules

5.1. By redeeming the promo code and creating a workspace, you agree to be bound by these Terms, our Privacy Policy (https://flowdocs.co/privacy), and our Data Processing Addendum (https://flowdocs.co/dpa), each of which is incorporated herein by reference.

5.2. To activate, the user must enter code FLOWDOCSUAE during workspace creation inside the FlowDocs app within Microsoft Teams.

5.3. One redemption is permitted per unique company domain. Attempting a second redemption will result in an error message displaying the original activation date.

5.4. By redeeming, the administrator confirms they have the authority to bind their organization to these terms.

6. Fair Use & License Limits

6.1. Workspace is capped at 10 active users. If an administrator attempts to invite an 11th member, the system will block the invitation and prompt an upgrade to a paid tier.

6.2. The Plan is intended for genuine business use. FlowDocs reserves the right to suspend or terminate workspaces demonstrating abuse, including but not limited to: (a) registering multiple workspaces under domains owned by the same legal entity to circumvent the 10-user limit; (b) automated bot activity unrelated to genuine ticketing workflows; or (c) generating artificial traffic to exploit the promotional offer.

7. Data, Privacy & Security

7.1. FlowDocs processes personal data in accordance with its Privacy Policy (https://flowdocs.co/privacy) and the Data Processing Addendum (https://flowdocs.co/dpa). We will never sell your contact information to third parties for marketing purposes.

7.2. You may request deletion of your personal and company data at any time by contacting our support team at support@flowdocs.co.

7.3. As a native Microsoft Teams application, FlowDocs adheres to Microsoft 365 security standards. Your authentication relies on your existing Microsoft Entra ID (Azure AD) credentials.

8. Intellectual Property & Ownership

8.1. All data, documents, tickets, and content uploaded or created by Users within the Workspace remain the sole property of the User or their organisation.

8.2. FlowDocs does not claim ownership over User data. We receive only a limited licence to process such data solely for the purpose of providing, maintaining, and improving the service.

9. What Happens at Month 12 (Expiry Protocol)

9.1. There are no automatic charges. We do not store payment methods for this promotional plan.

9.2. Notification schedule:

T-30 days: Admin receives options to subscribe or continue in read-only mode.
T-7 days: Reminder sent with instructions on how to download critical individual tickets and documents.
T-1 day: Final warning notice.

9.3. Upon expiry, the workspace transitions immediately to Read-Only Mode:

All existing tickets, documents, chats, and workflow history remain viewable and searchable.
Creation of new items, edits, and state changes are disabled.
No data is deleted without prior notice.

9.4. Data Retention: Read-only access is maintained for ninety (90) days after the twelve-month term ends. After Day 91, the workspace and all associated data will be permanently deleted unless a paid subscription is activated prior to that date. A final deletion reminder is sent 7 days prior.

9.5. Individual Access: Users can view, search, and download individual tickets and documents via the UI throughout the active and read-only periods. Bulk download functionality is currently under development; Administrators requiring bulk export prior to expiry should contact support@flowdocs.co at least 14 days before the transition to Read-Only Mode.

9.6. To restore full read-write access, the Administrator must actively subscribe to a current paid plan.

10. Termination by User

10.1. You may cancel your workspace and delete your account at any time via the Workspace Settings panel. Cancellation is immediate and irreversible.

10.2. Upon cancellation, all data associated with the workspace is scheduled for permanent deletion within 30 days, subject to legal retention requirements.

11. Limitation of Liability

11.1. The “Made in the UAE” Plan is provided on an “as-is” and “as-available” basis without warranties of any kind, either express or implied.

11.2. To the maximum extent permitted by law, FlowDocs’ total aggregate liability arising out of or related to this Free Plan shall not exceed the total fees paid by you for the service (which is $0.00).

11.3. Nothing in these Terms shall exclude or limit liability for: (a) death or personal injury caused by negligence; (b) fraud or fraudulent misrepresentation; (c) gross negligence or willful misconduct; or (d) any other liability which cannot be limited or excluded under applicable law of the United Arab Emirates.

12. Force Majeure

12.1. FlowDocs shall not be liable for any failure or delay in performing its obligations under these Terms where such failure or delay results from any cause beyond our reasonable control, including but not limited to: acts of God, governmental actions, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, strikes, shortages of transportation, facilities, fuel, energy, labour, or materials, or failure of telecommunications or internet services (including Microsoft Teams or Microsoft 365 outages).

13. Assignment

13.1. FlowDocs may assign or transfer these Terms, in whole or in part, to any affiliate or in connection with a merger, acquisition, corporate reorganisation, or sale of all or substantially all of its assets.

13.2. You may not assign or transfer these Terms or your rights hereunder without the prior written consent of FlowDocs.

14. Changes to These Terms

14.1. Material changes to these Terms will be communicated by email to the registered workspace administrators at least 14 days prior to taking effect.

14.2. If you do not agree to the revised terms, you must cease using the service and delete your workspace before the changes take effect. Continued use of the workspace after the effective date of the changes constitutes acceptance of the revised terms.

15. Severability

15.1. If any provision of these Terms is held to be invalid, illegal, or unenforceable by a court of competent jurisdiction, such provision shall be modified to the minimum extent necessary to make it valid and enforceable, or if not possible, severed from these Terms.

15.2. The invalidity or unenforceability of any provision shall not affect the validity or enforceability of the remaining provisions, which shall remain in full force and effect.

16. Governing Law

16.1. These Terms shall be governed by and construed in accordance with the laws of the Emirate of Sharjah and the federal laws of the United Arab Emirates.

16.2. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Sharjah.
